Job Description
Overall purpose of the job:
To participate in driving the business qualification process of potential opportunities as they are assigned and assess the viability of each opportunity with its owner.
To lead, manage, co-ordinate and respond to formal invitations to tender (ITT) requests for proposal (RFP) and requests for quotation (RFQ), with particular focus on strategic, high-value, multi-service line and complex opportunities for Public Sector clients.
To lead the bid management of sales opportunities with other departments and key account managers to ensure we deliver a winning solution to meet the client's specification and deadline, and making best use of resources from across the company
Key responsibilities for this job:
- Review, drafting and managing the delivery of bid materials received including PQQ/SQs, RFIs, RFPs and ITTs.
- To review all content to ensure questions are being fully responded to, critiquing content, whether sales, technical, support etc. and liaising with departments to update, amend and delete as appropriate ensuring consistent professional response.
- Qualifying opportunities in collaboration with other members of the Public Sector team.
- Organising and chairing Bid kick-off meetings and co-ordinating a win strategy.
- Delegating and assigning workload to bid team members to ensure efficiency throughout bid life whilst consistently meeting deadlines and managing risk of failure.
- Co-ordinating and chairing review meetings and monitoring progress and assess drafts.
- Carrying out post bid reviews to evaluate lessons learnt from client feedback.
- Review tender clarifications and attend customer clarification meetings as required.
- To be lead point for all questions, points of clarification to and from the clients (In bids scenarios only) ensuring that all questions / points are completed within the tender guidelines.
- Collating standard bid response documents in accordance with the Exponential-e defined styles and branding.
- Making bid pricing recommendations, in collaboration with Sales, based on relevant data from other bids and available competitive intelligence
- Providing bid follow-up activity assistance and expertise when needed to support the sales cycle.
- Risk tracking and management throughout the bid process
- Proof reading and formatting of documentation
- Assisting with creation of PowerPoint presentations to present to clients at the shortlisted stage of the bid process.
Knowledge and experience required:
- Experience in developing business within Public Sector
- The ability and experience required to deal directly with customers
- Able to demonstrate strong commercial understanding and business acumen
- Good understanding of Public Sector buying practices and relevant frameworks
- Strong creative skills, independent learner with a passion for focusing on the possible
- Excellent interpersonal, negotiation and influencing skills
- Ability to work well under pressure
- Prepared and capable of undertaking a range of both strategic and tactical tasks in order to deliver results
- High energy and ability to manage multiple initiatives
- Strong written and verbal communication skills and confident and effective and presentation skills.
- Present Control Risks' capabilities and range of services through a range of media and environments i.e. PowerPoint presentation; e-mail brief; round table presentation; informal discussion
- Communicate client relationship and client requests in detail to consultants as and when required
- Effective decision-making and judgment
- Assertiveness and the ability to display influencing skills during the course of the bid process
- 5 - 10 years + Experience working as a Tender/Bid/Project Manager within the IT/Telecommunications/Technology sector
